Posting Number: req17020 Department: School of Music Location: Main Campus Address: Tucson, AZ USA Position Highlights The University of Arizona Fred Fox School of Music and the Pride of Arizona Marching Band is seeking a reliable, responsive, and professional individual to support our band program and related activities. The position requires strong initiative, excellent organizational skills, the ability to work independently, and to collaborate closely with the Department Chair, faculty, and staff, as well as with our participants and community members. The incumbent in this position will coordinate administrative functions and some financial activities for the Band Area within the Fred Fox School of Music, for both Athletic Bands (Marching Band, Pep Band) and Concert Bands (Wind Ensemble, Wind Symphony). Occasional weekends/late evenings may be required. Duties & Responsibilities Duties and Responsibilities: • Perform a variety of administrative duties including document preparation, scheduling, meeting and event coordination, travel arrangements, website updates, record keeping, supply inventory, and data entry. • Process ICONs, DCC's; support hiring processes as needed. • Create and process Travel Authorizations with the business office for the band director and teaching assistants/GA's and Dean's Excuses for Student Absences; process DV's, purchase orders, cash advances, per-diems; assist with budget. • Oversee inventory including uniform and equipment, office supplies, etc. • Support the Director with the donor/alum program. • Develop and facilitate large-scale Band Area events, including but not limited to: • Coordination of UA Marching Band Camp and Rookie Orientation Dinner (August before school begins). • Annual UA Band Day (Saturday in October). • Annual Band Banquet (December). • UA High School Honor Band. • UA Wind Conducting Workshop. • Direct students, staff, and external contacts with accurate and relevant information. • Represent the band at various events and meetings. • Book and administrative oversight of the Pep Band or the Pride for appearances off-campus. • Creates and updates departmental files, databases and reports; including Qualtrics surveys, Google docs, Eventbrite. • Promote the band, its performances, and Pride activities to the campus and community with marketing, email marketing, assisting with social media, and updating the Pride website. • Manage all printing needs for organization. • Maintain and update High School Band Directors contact list. • Maintain and update website; updating schedules, registration information, membership page, upcoming season information. • Support students enrolling in the Pride; looking at other programs and their requirements, reaching out to program advisors and finding a fit for specific students. • Facilitate the use of a recruitment database of all Arizona music teachers of band, orchestra, and choir directors and private teachers of all instruments/voice/piano. • Coordinate administrative tasks such as Parking & Transportation needs. • Oversee student workers. • Other duties as assigned. Knowledge, Skills, & Abilities: • Ability to communicate effectively with different groups/individuals. • Ability to handle confidential and sensitive information. • Skill in public speaking and presenting information to large groups. Minimum Qualifications • High school diploma or equivalent, or equivalent learning attained through experience required. • Minimum of 5 years of relevant experience required. Preferred Qualifications • Experience using Slack. • Experience with FERPA. • Experience with UAccess.
