Department: Division of Enrollment Management Job Category: Administrative or Professional Faculty Job Type: Full-Time Work Schedule: Full-time (1.0 FTE, 40 hrs/wk) Location: Fairfax, VA Workplace Type: Hybrid Eligible Salary: Salary commensurate with education and experience Criminal Background Check: Yes About the Department: The Office of Financial Aid is a part of the Division of Enrollment Management, which also includes the Office of Admissions, Office of Military Services, and the Mason Student Services Center, reporting to the Vice President for Enrollment Management. The Division of Enrollment Management is a part of the Office of the Provost. About the Position: The Assistant Director of Athletics and Compliance provides direct operational support to the Director of Financial Aid, ensures all financial aid functions are performed efficiently, effectively, and in accordance with all institutional, State, and Federal regulations, and performs related work as required. This position provides management oversight for major projects including, but not limited to, COD Reconciliation, Satisfactory Academic Progress, and Return to Title IV. Additionally, this position will take a leadership role in literacy development, training, supervision, and professional development. Responsibilities: • Responsible for the development and maintenance of Policy and Procedures Manual. Recommends, interprets, administers, and updates financial aid policies in compliance with federal, state, NCAA, and contractual regulations; • Monitors communications from the Department of Education and professional agencies to stay abreast of current regulations, policy guidance and best practices, as well as identify and report related impacts; • Regularly conducts internal audit reviews and effectively communicate findings and TIV compliant recommendations to the Director and relevant points of contact; • Reviews student records to ensure compliance with federal and state standards regarding satisfactory academic progress and grade point average requirements; • Participates and represents the college at local, state, and national conferences, and represents the Financial Aid Office on compliance panels or presentations; • Coordinates staff trainings on federal, state, and institutional regulations; reviews and makes recommendations to ensure institutional policies and procedures are updated on a regular and consistent basis; • Coordinates and administers one or more of the various programs within financial aid including Federal Direct loan reconciliation, Pell reconciliation, Return of Title IV funds, NCAA scholarships, gainful employment, etc.; • Ensures compliance with NCAA regulations by monitoring and updating student-athlete financial aid records, verifying compliance data, and completing necessary forms; • Performs administrative duties including maintaining student-athlete files, ensuring data security, and generating and distributing athletic scholarship letters; • In collaboration with Athletics, uses projection sheets to award athletic scholarships to all student-athletes prior to Fall and Spring semesters, and summer terms; • Receives and reviews grant-in-aid requests submitted in ARMS compliance software to approve or reject according to eligibility requirements; • Reviews/adjusts athletic aid awards and refunds to ensure compliance with NCAA limits and University cost of attendance; • Ensures aid requests for each student-athlete is compliant with University cost of attendance, and projection spreadsheets are compliant with NCAA team and individual scholarship limits; and • Performs other related duties as assigned. Required Qualifications: • Master's degree or equivalent combination of education and experience; • Demonstrated success in managing provision of in-depth communication/contact with students and families via e-mail, telephone, and in-person; • Comprehensive knowledge of federal and state financial aid programs and regulations essential; • High level of competency in Financial Aid Administration (Title IV, State Aid Programs, Institutional Aid-both merit and need-based), and Student Information Systems; • Effective verbal and written communication skills and attention to detail; • Skill in managing in-depth contact with students and families via e-mail, telephone, and in-person with finesse; • Strong organizational, interpersonal, collaborative, and computer software skills; • Critical thinking and problem-solving skills; • Proficiency in the use of Microsoft Office Suite, particularly Excel, and ability to analyze large quantities of information; • Ability to provide the highest level of service to students and their families, a positive approach to work, and be a team player; • Ability to work independently and as part of a team in a high-volume and ever-changing environment; • Perform effectively in an environment with constant interruption; • Organize and prioritize work and meet deadlines in a fast-paced and ever-changing environment; and • Coordinate and monitor complex projects and activities. Preferred Qualifications: • Experience analyzing and awarding financial aid in compliance with federal, state, and institutional regulations and policies; • Experience with Ellucian Banner financial aid software; • Experience with Salesforce case management software; • Experience with Title IV (R2T4) calculations; • Experience with Salesforce, Oracle/SQL systems would be beneficial; • Understanding of computerized information systems and imaging systems; • Demonstrated understanding of the importance of financial aid in recruitment and retention in order to achieve the strategic goals of the College; • Demonstrated presentation skills with the ability to lead, influence, and inspire colleagues and cross-functional teams; • Demonstrated ability to assess risks and provide prudent advice; • Demonstrated ability to collaborate and coordinate in a multi-campus college organization; • Strong data analysis skills; and • Ability to communicate effectively in Spanish.
